Maintains the living member record and season allocations.
One register for every person the club depends on.
People & Teams is the Club OS record of members, volunteers, coaches, parents, staff and teams. It is the source other modules use when they need to know who someone is, what they can do, and which team they belong to this season.
What People & Teams is for.
Stop rebuilding member lists, team sheets and role contacts every season. Give the registrar, president and team managers one place to find the right person, with history attached.
Built around real club roles.
Sees who holds which role without chasing inboxes.
Works from a current team list, not last year’s export.
Publishes tasks and sees who has claimed shifts without chasing group chats.
Inherits people and role history instead of a blank spreadsheet.
The functionality committees actually run.
People & team register
The living record every other Club OS module builds on.
A single person record
Each person has one record the club can reuse across seasons. Contact details, roles, teams and notes sit on that record instead of being copied into new files each year.
Teams as operating units
Teams are not just names on a sheet. They hold players, coaches, managers and age-group context so fixtures, grading, canteen rosters and messages can point at the same group.
Roles with a trail
Committee, coaching and volunteer roles are assigned to people, not to shared logins. When someone leaves, the club can see what they owned and who should take it next.
Season-aware allocations
A player can move teams, a coach can change age groups, and last season’s allocation stays in history. The current season stays clean without deleting the past.
Access that matches the job
People & Teams feeds Club OS permissions. A team manager should see their team. A registrar should see the register. A canteen volunteer should not see the whole club directory.
Ready for grading and fixtures
Draft boards, team needs and match-day lists all start from this register. If the people data is messy, every other module inherits the mess.
Optional inclusion fields
Where the club chooses to collect them, inclusion-related fields can sit on the person record with role-gated access — feeding diversity and participation reporting without scattering sensitive data across spreadsheets.
Volunteer tasks & self-service
Let volunteers take on the jobs they enjoy, when they can — without roster chasing in group chats.
Volunteer task board
Publish canteen, grounds, events and match-day jobs in one place. Coordinators see what needs doing; volunteers see what is open to claim.
Self-service shift signup
Volunteers choose tasks that match their interests and availability instead of waiting to be assigned in a side conversation.
Coverage the coordinator can trust
See who has claimed what, where gaps remain, and which fixtures or facilities still need people — without retyping names from a paper list.
Linked to people, fixtures and facilities
Tasks attach to Club OS people records and the season context they belong to, so handover and follow-up stay in the club system.
A path volunteers can repeat.
The hidden systems clubs already have.
- Member spreadsheets
- Team lists in email attachments
- Shared committee contact docs
- Last year’s PDF that nobody trusts
- Roster chasing in WhatsApp
- Unnamed volunteers on a paper list
This work does not sit alone.
